Sales & Marketing

Laura- Outside Decorworx Sales

Shipping. Always to make sure to add the address on kyedin every time and with attention to the person that needs to get it, with the phone number of the attention person.  Accurate “have to have it” dates.  Set up communication with manufacturing to always ask if it needs to be over nighted.  Rosy asks to have everything wrapped for shipping by three.  If items are not being stored in the bay it is indicated where it is stored.  Have the shipping person notify sales when things have been shipped.  Sales will need to send a customer send a packet with the information on how to receive the crate.  Manufacturing will take photos of the crate to show them how big they are. 

Tara- Inside Decorworx Sales

Dive into keyed and smart sheet to figure out how to utilize them the best.  Keyed-in is for tracking the job. Came up with a list of 5 reports, and found things that we can’t do on Keyedin that are better on smartsheet.  Figured out how much it costs. 

Rich- Outside Decorworx Sales

Estimating - find an efficient way to price out items to produce estimates. Offer better customer experience. Built the list, filled in 1/3 of it and create the templates.  Contuning on to next rock

Tyler- Southern Utah Manager 

Work on Southern Utah Division Plan -  Set goals, clear vision, direction, solve the biggest issues.  

Focused on Estimating and product master lists - moving into next quarters rock. 


Finance

Install- Go officially paperless. Sabria has taken everything that use to be in packets it now electric. All of the trainings are linked and insurance documents and emergency information is linked. 

Finance- initial budget for finance and install. Budgets for all of the departments.

Data analysis- meet with entire sales department, Lauren and finance to see what information they needed to have. Each department needed different information.

Improving Brandworx- What to say to the client throughout the process.  Helps get sales the language that you use for branding.  Ways to respond to clients without making them feel uncomfortable. Also has design terms that the client might not understand.

Finish flushing out the Rainbow Logo packages. It will help customers think more about their logo when they are not as serious about branding. 

Dave- Retail Designer

Setting up “Give Me 50”. Sent out a write up on the “Give me 50”. Product Design. Generating ideas, and ways to create new products. 

Online Courses for Interior Design.  Took a 6 hour course. The course offers basic skills and principles to understand Interior Design.  If someone was interested it would be a good course. Udamey.

Management

Jeff & Tenia - Visionary / Integrator 

Business / Vision Plan. An extensive document has been created that details regarding where the company is and where it is going in the future. Within the document there is important information about strategy, divisions, culture, products/services, and system thinking. The business plan is an ever-evolving task but sustain progress has been made to have everything recorded somewhere. The business plan was presented to the leadership team. The next steps will be figuring out how to make specific areas more visible for the organization to refer too. 

Southern Utah Plan. A plan is created regarding the Southern Utah Division. We have hired a Southern Utah manager, assembled a team and now we are refining the vision. This rock will continue onto the next several quarters. 

Communicating the VTO.  We have purchased several display units that will be located in both buildings and once it is up and running in the DXSLC facility. On these screens, we will display our core values, successes, and events that are happening. A design has been created for the Traction room that will have the information contained within the VTO will be displayed, and everyone will be able to revisit the info. We have also tentatively scheduled a company retreat where we will be going over everything EOS specifically the information that is on the VTO. 


Sales & Marketing

Tiffiney- Sales Director 

WIP. Tiffiney has identified where jobs are not getting closed and then determined a system to resolve it. Smartsheet will now be used to indicate if deposits and payment have been received, Heather will close all jobs, so they are just going through one person, and Steve will be the only one to be ‘killing’ jobs within the system. 

Deposits. To receive deposits into the company several things will happen to ensure that. No job will move into manufacturing without a deposit. ARO jobs that don’t have deposits will be approved by Jeff only. We will be trying a new method with customers called a ‘launch’ deposit to help weed out non-committed customers. 

Cash Flow. Sales did training on how to forecast jobs accurately. On smartsheet, a job will move to final billing when the install team comes home. If there is a tail list, we will bill all but 5%. 

Tara- Inside Decorworx Sales

Training. Tara has been training on the system, EOS and working with Laura to get jobs in. 

Rich- Outside Decorworx Sales

Contact with Key players in the midwest and southeast territories. Rich has made 12 contacts and has been establishing good relationships with them. 

Have 2-3 jobs go through the system. Rich has now entered in 7 jobs into the system. 

Brittany - Inside Decorworx Sales 

Training. Brittany has been training on the system, EOS and working with Rich to get jobs in. 

Jaden- Outside Southern Utah Sales 

Make contact with Utah based chain. Jaden made contact with ‘Runway Fashion Exchange’ who are currently building stores in Las Vegas. 

Spring- Inside Southern Utah Sales

Payment System. Spring identified a fast way to look up and take payments. 

Tyler- Southern Utah Manager 

Completed extensive 60 day training across the entire company. 


Finance

Shelly- Finance / Install Director 

Profitability. Shelly has identified what numbers we are tracking and why to calculate profitability. She has created a method to help save money for future investments and or downturns in the market.  Shelly found comparisons within the industry on the average profit percentage.  Shelly has also calculated 2016, 2017 and 2018’s profit percentages. Our post profitable products have also been identified (along with our least profitable). Our most profitable products are Vinyl text, Wallpaper, Gator/Sintra print, Woodwork, Locators & Brackets, Simple metalwork, Reverse acrylic prints. Contained in Shelly's report is also a list of our most profitable customers/projects which include: Harmons Mountain View, Harmons Holiday, KB Oil, Pioneer Floor Coverings, Harmons Corporate, Market at Vail, Roberts Food Center, Cedar City Events, Sonnys Bridge Port.  

Function Dashboards. Each function (and eventually division) has a dashboard that gives them historical and current data on profitability, expenses, profitable projects, and will ultimately have department wage percentages. The dashboard has been created to help distribute data and information so decisions can be assigned at the director level.

Steve- AR / Bookkeeping 

Receiving + Purchasing SOP.  Processes have been evolved in addition to the system simplified with who is involved. A better receiving area is also being identified. This rock will continue to next quarter. 

Southern Utah Inventory. A location (the mezzanine) has been created to house all of our order in products. A Smartsheet has been built for sales and creative so that those individuals working on jobs can pull from stock items that we already have. 

Install expenses. Steve has created an expense sheet so that we can identify what is purchased for each project to assign it to the work order. 

Project Management in keyed In. Steve has found an area within keyed In where he can pull all of a stores work orders to see what the project costs us. 

Jaxon- Finance / Install Manager

Overhead for Install. Has averaged the historical data gathered from income statements and has identified the cost of revenue into the overhead. He has been calculating how Install is contributing to the profitability of each project. From this report, Jaxon will be able to use the revenue to project install expenses in the future. This platform will eventually role into the other functions to help configure budgets, and it will be added to each functions dashboards. 

Susan- Estimator 

Rework. Susan has started on a system to track rework/redo & expense of the rework.  The reports are to follow cost lost and to reduce the amount of rework as well as figure out the cause of the rework. Susan within the rework system a CRM have been assigned within keyed in to be logged. A new work order will be created each month for Southern Utahs work. The Rework system is an evolving rock and will be continued into the next quarter. 

Zach- Southern Utah Site Survey / Maintenance

Vehicle Maintenance Log. Zach has put together a log that shows when vehicles have been maintained and or worked on and what was completed. He has also performed maintenance on those vehicles that needed attention. 

Kyle- Install Coordinator

Training on Install Coordinator. Kyle has been training and creating systems for the Install Coordinator position. He has been attending kick-offs and has been spearheading the safety committee.

Lalena- HR

Internship program.  A system was built regarding our partnership with SUU. Entrance interviews have been initiated along with orientation day, system orientation, midterm activities, and end of term party. As the intern program grows, Lalena will be dynamic in how it evolves. 

Welcome Packet. A packet is being assembled for new and existing team members that contain essential information regarding the company. It will help everyone be on the same page with who we are and what we do from day one. , and this rock will continue into the next quarter. 

Manager Training. Manager training has been established to review our check-in process, Labor Laws and EOS.  Training will be an ongoing Rock to have our Directors & Managers trained in many different aspects of Human Resources. 

Chartise- Pub Operator & HR Assistant 

Systems & Training regarding the PUB. Chartise has been working on the turn around times, information needed and capacity regarding the Pub. She has been working with sales to help train on the system. 

Pulse of the company. Chartise has been working with Lalena in helping asses the pulse of the company regarding morale. 


Install


Creative

Lauren-  Creative Director

Accountability. Defined key performance indicators for each team/function with simplicity and transparency to ensure clear expectations for all team members. Managers have their teams Core KPI’s and which core values they correspond. 

Elevate Design & Designers. Lauren has created programs to help the designers be looking for new inspiration called the “Give me 50” which are located in the small conference room across from creative. Lauren has also established a system to have final designs checked for accuracy.

Swayzi- Retail Designer 

Branding Research. Research what other companies have done regarding working with their clients, how they are advertising their services, and their internal workings. She will continue her roa

Drew- Southern Utah Designer

Research regarding logo design within the Southern Utah division. Drew has started to identify what the difference between logo design and a branding package. He has assembled research and has gathered data on how many logos we have done, our average time spent and so forth. Drew has also formulated packages to sell around logo design based off of his research. His next step is to get pricing for the different packages.

Dave- Retail Designer

Training Database for designers. Dave has gathered primary resources for the creative team regarding interior design. He has created several ‘playlists’ of training videos found on our Learn Library Smartsheet. He has also sited a couple more sources that require funds that he would like to have purchased.

Rick- Retail Designer 

Innovation of new decor elements documented. An infographic was created that documents the creative process and what steps need to happen to test and build new decor elements so that it does not burden or stress other functions and system processes.  The infographic will help train other departments so they can understand the steps that are within the function and help facilitate collaboration. 

John- Retail Designer 

Templates with standard products. John has created templates within creative with our main standard products that are already set up for engineering. All of the templates have accurate dimensions, hardware called out and other relevant engineering information. 

Measurable’s & KPI’s have been identified for the creative team. John has created a list of scorecard measurable that creative can use that does not depend on other departments. John is working on gathering the initial information for each of the measurable and figuring out a way to track them in the future.

Jessica- Retail Designer 

A PDF containing contests we can enter. These contests will highlight our projects and create notoriety within the industry. Jesica will be creating a smartsheet that will house the information so it can be continually added too.

Shaena-  Branding Designer

Decorworx & Rainbows updated websites. They have been updated with current information. Layouts are updated to current trends that fit within our formatting and information has been condensed for simplicity. Shaena has created several sheets with data that has been gathered about each website and their pages to see how long people are spending within each area.

Katie- Branding Designer

Internal Culture - Marketing. Katie has created three main internal campaigns that center around our core values, our purpose, and Love where you live and work. 33 different initiatives have been designed to bolster the culture that we want as a company. Some of these initiatives will also create awareness for the community and potential hires of our company and in so doing it will leverage our brand positioning.


Manufacturing

Alex- Manufacturing Director 

Celebrate Successes. Will be moved over to the next quarter. 

Extreme Ownership. Has been started within the manufacturing department, and will be pushed into the next quarter for the company. 

Core Processes. Past SOP’s have been gathered and collected on the server for manufacturing. A Smartsheet was built where core processes have been identified, and those that we already have documented have been uploaded onto the sheet. Over the next two quarters, Alex will be working with every function to record their core processes and upload them to the Smartsheet.

Heather – Manufacturing Manager

Training Board – On track. This is a big Rock that is going to take till the end of the year - she is working with Lauren to have KPIs tied in

Ownership in Manufacturing – On Track - trains from the book every three weeks.  Gives examples every week of where ownership can happen

Chris Brown  - Engineer

Install instructions.  Gathering and storing in a central location.  Allows us to use them repeatedly with less work. Getting engineering involved sooner in process.  Has been pushing other departments to lean on engineering for specs a little sooner in the process.  Has been working with Susan to help with ideas, and specs so that costs are accurate and make sure we can do what is speced.

To get 451 Building completed - This will continue to next quarter. 

Ryan – Engineer

Working on a goal of making Engineering sheets “Unquestionable” - Has worked out a few standard items and critical items that show up consistently on engineering sheets, and has been adding them to a folder on the server for consistency, and time-saving.  

Melissa – Manufacturing Lead

Cross Training - Has been pushing everyone to identify one area, and has been making it happen by scheduling them to do it without giving up manufacturing time.

Kevin – Print Shop 

SOPs & Quality - Has been helping Alex gather and update SOPs, and has started making videos for core process sheet.  Has been talking to everyone consistently about quality issues so that they can improve, and better themselves and the department 

Alisha – Print Shop

Redos. This one is complete, and we will set a new one this month - Has worked with Susan as our department rep. to help define the system within production for tracking and entering redos.   

Kris – Print Shop

Engineering Training – This has resolved the issue of the Engineers being interrupted several times a day by small problems that Kris can fix.  He has been doing some “self-training” by looking at our old jobs and matching how we have done it.  Has tried to take a few jobs from engineering, but his workload in manufacturing makes that hard. 

Rosy – Shipping / Assembly 

Shipping – Rosy has made changes in the way our Shipping system works by adding “Shipping Packets” that have all the information included. We are working on coming up with a quality system.  She has been gathering and preparing all the data to send with products.  The ownership of this process is something we have lacked in the past.  She has been scanning and uploading any relevant info to the smartsheets about the shipments as well.

Cydnee – Print Shop

Smartsheet Production flow – Cydnee has put together a Smartsheet That will help us in the future with going paperless. The sheet is ready to be used, but we have not implemented as of yet. Her next Rock will be training everyone on it.  The system is excellent, but we need to move slow and get the rest of the dept trained on using the basics of smartsheet before we can start using this. Those first steps are coming along great.  Everyone is required to log info about conversations or any info about the job that is relevant.  After talking to Jaxon and Susan, we may need to delay more.  It seems to keep getting backlash from people about the capacity of smartsheet. This rock will continue onto next quarter. 

Jake – Route

Route quality and consistency  - We are working on coming up with a quality system.  We need to get the Core Processes defined here so that he knows where the bar is, and then he can start to raise it.

Patrick – Fab Shop

Making and utilizing a Maintenance log –  The maintenance log is a simple sheet that we have been talking about for years, but Patrick has created it. It is a simple checklist that he checks each week when the maintenance on the machines is completed.  The log is for the woodshop, right now but we are going to utilize something similar for each piece of equipment. Patrick also has established procedures for keeping warehouse maintained.    The next step is to convert the tangible log on to the smartsheet. 

Jacobi – Welder

Scrap rack for weld room –  He has the plans and material, it just hasn’t been a priority because we have a current rack that is “ok” but is outgrowing its usefulness. This rock will continue onto next quarter. 

Tom – Painter

Working on the Mezzanine – Wants to build a storage mezzanine above the paint booth for large piece storage (i.e., trellis’s, large sheets of letters, etc…) This rock will continue onto next quarter. 

David – Fab Shop

Shelves for Paint room –  The shelves currently in the paint room are again “ok” but we wanted to upgrade them for more flexibility and to make them more usable. This rock will continue onto next quarter.
